Prepare a sample shipment with one pickup, one delivery, a shipper rate, and a carrier rate. Ask the person who will use the system to create it, change an appointment, attach a delivery document, and identify what is ready for invoicing.

Then add an exception: the carrier cancels or the delivery document is unreadable. Look for a clear next action and a visible history of the change. A good demonstration should make the routine work and exception handling understandable to your team.

Move off spreadsheets in manageable steps

Clean customer and carrier lists before importing them. Decide which records are active, how locations are named, and which historical records you need to preserve. Keep a backup and avoid bringing duplicate contacts into a new system.
